The earliest item in the collection is the statement of the General Chapter of 1986. The collection is ongoing. The materials were sent to archives by the directors of the program. The first series is Early Development (1986-1989); it begins with the Chapter statement and continues until the appointment of the first full-time director. Thereafter, the series bear the names of the directors. These are: Sister Donna Butler: Director (1989-1997); Sister Mary Montgomery: Director (1997-2005); Julie Szolek-Van Valkenburgh: Director (2005-2010.) This last is not yet inventoried as of March 2010. Records include historical accounts, information sheets, Chapter and mission statements, lists, notes, photos, forms, letters, faxes, post cards, greeting cards, agenda, minutes, memos, booklets, newspaper articles, plans, reports, maps, tax information, outlines, flyers, surveys, schedules, press release, newsletters, bulletins, brochures, by-laws, certificates, job descriptions, sample stationery, evaluations, agreements, fan, bookmarks, name tags, worksheets, programs, materials re expenses, questionnaires, personal profiles, résumés, transcripts, statistics, scrapbook, rosters, prayer cards, handbooks, directories, poster, guidelines, invitations, homilies, interviews, site descriptions, checklists, driver's license, poems, canceled checks; checkbook registers, invoices, budgets, floppy disks, visa information. Records are arranged by type and thereunder chronologically by date. The collection is not complete. For example, many volunteers who actually served in the program do not have personal folders in Box 4, and some committee minutes are missing. Also, twenty-seven folders from Sister Mary Montgomery's collection were retained for the transition period between directors. The list of these has been placed in the folder with the box lists in the stacks. The Providence Volunteer Ministry collection was inventoried by Sister Marie Esther Sivertsen in 1999 and 2010. |
